This privacy policy describes how axile AS ("axile", "we", "us") handles personal data collected through the website axile.no and through correspondence with us.

What we collect and why

Email and phone

When you contact us by email or phone, including by clicking a mailto: link on this site, we receive your name, your contact details, and the contents of your message. We process this data to respond to your inquiry and, if relevant, to deliver services you request.

We use an AI assistant from Anthropic to help us draft replies. Anthropic may then process the contents of your inquiry, including your name and email address. We have turned off the use of our conversations for model training.

We record contacts and follow-ups in our CRM system, based on our email and calendar. We add publicly available information about the organization you represent, such as details from its website.

Legal basis: legitimate interest (GDPR Article 6(1)(f)) and, where relevant, performance of a contract (Article 6(1)(b)).

CRM audit requests

When you request a CRM audit through the form on this site, we receive your email address and, if you provide it, your current CRM platform. We send it to you as a confirmation email and keep a copy in our own inbox so we can follow up. From there, we handle it like other email correspondence, as described above.

Legal basis: steps taken at your request prior to entering into a contract (GDPR Article 6(1)(b)), and legitimate interest in responding to inquiries (Article 6(1)(f)).

Meeting bookings

When you book a meeting through the link on this site, the booking runs on Google Calendar. We receive your name, email address, and anything you add to the booking, and use it to hold the meeting and follow up.

Legal basis: steps taken at your request prior to entering into a contract (GDPR Article 6(1)(b)), and legitimate interest in responding to inquiries (Article 6(1)(f)).

Server logs

Our website is hosted by Cloudflare, Inc. Cloudflare automatically logs technical data when you visit the site, including IP address, browser type, and timestamp. This data is used to protect the site against abuse and to ensure technical stability.

Legal basis: legitimate interest (Article 6(1)(f)).

Analytics

We do not currently run web analytics on this site. No analytics script is active, no analytics cookies are set, and no usage data is collected or processed for analytics purposes.

If we reintroduce analytics, we will use a privacy-first tool that does not use cookies, does not track individuals across sites, and does not collect personal data — and we will update this policy before it goes live.

How long we keep data

  • Email and phone correspondence: retained for the duration of the business relationship and a reasonable period thereafter. Correspondence related to business transactions is retained for up to five years in accordance with Norwegian bookkeeping requirements. Other correspondence may be deleted sooner when no longer needed. We delete correspondence upon request, subject to legal retention obligations.
  • CRM audit requests: retained the same way as email correspondence above.
  • Meeting bookings: retained the same way as email correspondence above.
  • CRM records: kept while we have an active relationship, and deleted three years after our last contact.
  • Server logs: retained by Cloudflare according to their standard policy, typically 30 days.
  • Analytics data: no analytics data is currently being collected.

Third parties

We use the following service providers, who process data on our behalf:

  • Cloudflare, Inc. — website hosting and server logs (Cloudflare privacy policy)
  • Google Workspace — email, calendar, and document storage for hakon@axile.no, including meeting bookings and the automated confirmation email sent when you request a CRM audit (Google privacy policy)
  • Attio Ltd — CRM for contacts and follow-up (Attio privacy policy)

These providers are bound by data processing agreements that comply with GDPR.

We also use Anthropic's AI assistant to help draft replies to inquiries, as described above (Anthropic privacy policy).

Some of these providers, and Anthropic, process data outside the EU/EEA, including in the United States. They rely on the transfer mechanisms set out in GDPR, such as EU adequacy decisions or the EU Standard Contractual Clauses, as described in their privacy policies.

We do not sell or share personal data with third parties for marketing purposes.

Your rights

Under GDPR, you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your data
  • Object to processing
  • Request data portability
  • File a complaint with the Norwegian Data Protection Authority (Datatilsynet)

Changes to this policy

We may update this policy. The date at the top reflects the most recent revision. Material changes will be communicated to active clients directly.
